What this article covers: How to invite users to BrizoSystem and assign them the correct access rights — a reference for every available role and what each one can do.
User Deployment is where BrizoSystem administrators manage who has access to the platform and what they can do. Each user is granted a specific access right that determines which features and data they can interact with.
⚠️ Never share your login credentials. Always invite team members through User Deployment so each person has their own account — this ensures actions are tracked correctly and access can be managed or revoked individually.
1. Accessing User Deployment
Go to Organisation Settings → User Deployment from the left navigation. All users currently with access to this organisation are listed here. Click Add Deployment to invite a new user.
2. Inviting a User
1Click Add DeploymentThe Add Access Right dialog will appear.
2Enter the user's email addressMust be a valid email format. If the email is not already registered in BrizoSystem, an invitation email will be sent automatically.
3Select the appropriate Access RightChoose from the dropdown — see the role reference table in Section 3 to select the correct level.
4Click AddThe access right is granted immediately. Click Cancel to discard without saving.
3. Access Rights Reference
Choose the access right that matches the user's responsibilities. Apply the principle of least privilege — grant only the access level the user actually needs.
Administrator Full access — assign sparingly
Full system access including configuration, data loading, reporting, dashboards, journal management, and user management. Recommended only for system owners or implementation leads.
Report Viewer Read-only
Can view reports and dashboards. Cannot modify data, post entries, or change any settings. Suitable for board members, investors, or any stakeholder who needs visibility without edit access.
Data Loading Admin Data import & sync
Responsible for uploading trial balances, transactional data, and other datasets. Can manage data sources and trigger manual syncs. Does not have access to reports, dashboards, or journal entries.
Journals & Eliminations Admin Consolidation entries
Focused on consolidation activities. Can create, edit, and approve journal entries and elimination entries. Suitable for accountants or finance team members responsible for month-end consolidation adjustments.
Dashboard Admin Dashboard management
Can create, edit, and manage dashboards — including widgets, layouts, and visualisation settings. Suitable for analysts or finance team members who build and maintain dashboards for others.
Report Admin Report management
Can create, edit, and manage reports — including custom reports and how information is displayed. Suitable for finance team members responsible for report design and maintenance.
4. Managing Existing Users
Action How to do it
Change a role Select the user from the list and update their access right
Remove access Delete the deployment to revoke a user's access to this organisation — their BrizoSystem account is not deleted
Add multiple roles A user can be granted more than one access right — for example, both Report Admin and Dashboard Admin
? Tip: Review your user list periodically — especially when team members change roles or leave. Removing access promptly keeps your financial data secure.
